Claims Coordinator

This position is responsible for executing all administrative support functions to ensure HFP Claims reaches its goals and objectives for profit, efficiency, compliance and customer service. Responsibilities: . Opens, sorts, date stamps, and distributes the mail.  . Processes all necessary correspondence, including sending faxes, U.S. mail, preparing certified cards, and making and distributing copies. . Creates and maintains files in accordance with departmental and divisional standards. . Answers phone in a professional and courteous manner. . Routes calls or emails appropriately and professionally, and covers the backup phone line during designated times. . Makes appropriate travel arrangements and expense reporting. . Coordinates all logistics of meetings including the scheduling of conference rooms and providing the necessary equipment and supplies. . Maintains his or her department's Trial and Mediation List, Coverage Litigation List, and Watch List calendars and associated administrative tasks. . Scans and electronically files documents, when appropriate and as requested. . Provides coverage for another department on an as needed basis. . Demonstrates effective verbal and written communication skills - actively listening for and understanding the internal and external customers' needs. . Coordinates with other internal and external customers at the request of management. . Special projects and audits: independently assists with special projects and facilitates the preparation and updating of files listed for claims audits. . Ability to process various tasks through the claims database as per department standards (i.e. logging newly reported matters, looking up claim information, opening or closing claim files, creating new vendors, recording deductible payments, verifying and reconciling payments to vendors or counsel, inputting defense or monitoring bills of counsel for payment, and other systems functions). . Tracks and reports attendance records for appropriate departments. . Notifies the designated person(s) of any needs for office supplies and inventory. . Accurately gathers data and prepares reports for management through various programs . Can manipulate and re-format existing reports. . Prepares loss runs as requested by underwriters, insureds and brokers. WHAT IS THE COMPENSATION OPPORTUNITY?
