Senior Administrative Assistant

To support our growth, we seek a Senior Administrative Assistant to work in our Washington, DC office, located at 1725 Eye Street, NW. This individual will be responsible for administrative support for a group of senior staff, most of whom are located at the DC office. The selected candidate will perform administrative tasks (some of which are difficult and complex), work on multiple projects concurrently, and provide support in highly confidential matters. This includes maintaining calendars, providing contract support, assisting in proposal and business development activities, handling correspondence, scheduling meetings, working with databases and websites, and arranging travel itineraries.

The successful candidate will be proficient in MS Office applications, have the ability to work independently and simultaneously manage conflicting priorities, understand and provide excellent customer service, and be a strong team player. In addition to excellent written and oral communications skills the preferred candidate will have a college degree and five years of related experience, and must be organized, detail-oriented, able to prioritize and multi-task, and demonstrate the ability to work under strict deadlines in a fast-paced environment.

Key Responsibilities:

* Meeting/Event management to include arranging meetings (in-house, virtual, off-site), assist in agenda preparation, conference calls, distributing materials, logistical coordination, budgeting, and registration support for conferences, meetings, and workshops * Proposal coordination including retrieving/formatting resumes and preparing project descriptions * Expense Report assistance: receipts, organizing, filling out expense reports electronically, and tracking payment * Pay invoices, prepare invoice approval forms, and prepare check requests * Coordinate development of work plans and budgets * Inputting data from multiple sources, sending templates, formatting and editing drafts * Manage information flow with subcontractors * Collect notes from staff to draft Monthly Progress Reports for work assignments and prepare consolidated reports that reflect staff activities and level of effort. * Maintain a monthly deliverables file for each work assignment * Review and update budget task reports bi-weekly or monthly as required and alert task managers to potential problems * Maintain a list of staff and their resumes * Archive proposals and maintain a list of them, and prepare monthly announcement of proposal submissions * Manage multiple calendars * Prepare flight and hotel arrangements for travel * Assist with reminders on various deadlines to staff * Make copies of materials, print documents, send faxes, finalize documents, mailings etc.

Desired Responsibilities/Knowledge:

* Organizing Webinars and overseeing logistics for Webinars. Includes handling registration, compiling registration list, editing the audio tape, and posting the files on the web after the Webinar * Developing and maintaining a project description system * Developing and maintaining snapshots and marketing presentations

Key Qualifications:

* College degree preferred * 5-10 years of experience supporting senior level staff * Professional demeanor and ability to engage with staff and clients
