Description Part-Time Department Assistant Part Time Position: 20 hours per week (10:00 a.m. to 2:00 p.m., Monday through Friday) Position Objective To provide clerical support functions for the reception desk as well as departments within the organization. Essential Functions Perform various administrative tasks including but not limited to: providing support to administrative professionals, as well as Legal, R&D, IT and other functions as required. Manage office, break room and pantry supplies. Share reception responsibilities. Cover lunch and breaks for receptionist along with general back-up as required. Lead or assist in ensuring client visits are organized including schedules, transportation, room and food. Other duties may include but arent limited to: filing, making copies, sorting mail, making travel arrangements, participating in project preparation and implementation, and preparing routine letters. Screen mail and callers, route inquiries to appropriate personnel; respond to routine requests. Maintain files, records and reports. Actively promote and ensure clear communication within the department and facilitate inter-departmental communication. Manage and coordinate projects and programs to ensure high quality end results within given timeframe. May be required to perform other related duties as required and/or assigned. Nature and Scope: Excellent written and oral communication skills are required. Must be able to interface effectively with all levels of company employees. Job encounters recurring and routine work situations with occasional variations from the norm. Accuracy is required in performing all functions of this position. Must demonstrate judgment, tact and diplomacy in dealing with internal and external customers as well the ability to handle confidential and proprietary information. Initiative and organization skills are extremely valuable. Must possess self-motivation, enthusiasm, a positive attitude and perform as a team player. Normally receives detailed instruction on all work. Education: Knowledge of office/administrative practices normally acquired through high school level courses or equivalent work experience is required. College courses, vocational training preferred. Experience: Requires a minimum of six months of related experience. Must demonstrate exceptional computer skills and software application proficiency with solid knowledge of Microsoft software. Requires proficiency in typing, reading, writing, addition and subtraction skills.
