Program & Administrative Assistant provides administrative support for BEE programs and the administrative staff as assigned; and assists with special projects. Education/Experience Requirements College degree required. Minimum two years of administrative experience; executive assistance experience preferred. Knowledge Requirements * Excellent written and oral communications skills; strong customer service orientation; resourceful and detail oriented; good problem solving skills; ability to work effectively both independently and in teams. * Must be comfortable with MS Office, email, and collaborative software. * Ability to handle a fast paced environment, juggle lots of conflicting priorities, and be highly` professional in demeanor. * Must Be a self-starter. * Must be mature, dependable, discrete and diplomatic. Principal Duties and Responsibilities 20% Program Planning and Implementation: Prior to Programs * Identifies and contracts for classroom/meeting space and housing. * Plans conference logistics (including transportation, housing, meals, security clearance, etc.) During programs. * Is responsible for the effective and efficient management of the educational program, working on-site to manage logistics and to help resolve any problems that arise. * With Program Directors and/or outside partner organizations, assists in the evaluation of programs and develops recommendations to improve future programs. * As appropriate, provides back-up for Program Directors by introducing guest speakers and accompanying groups to site visits. * Other tasks related to program implementation as assigned by supervisor. After Programs * Handles program closeout; processes invoices and speaker payments, thank yous, etc. * Provides Administration and Finance with necessary program documentation. 40% Program Administrative Support: Prior to Programs * Identifies and contracts for classroom/meeting space and housing (as needed). * Develops and oversees production of program books, name tags, table tents, and certificates (as needed). * Plans conference logistics (including transportation, housing, meals, security clearance, etc. as needed). During programs. * Provides administrative support to the Program Associates by working on-site to manage logistics and to help resolve any problems that arise. After Programs * Provides assistance to Program Associates to closeout programs (as needed). 40% Administration: * Provides administrative support to the DFA as needed. * Assists Administrative Staff with special projects. * Assists with other BEE tasks as assigned by the Directors.
