This position will support the Vice President - Broker Sales, and the Customer Vice Presidents - Eastern and Central Regions, Campbell Sales Company. The successful candidate will have exceptional communication, organizational, and interpersonal skills, and the ability to solve problems creatively. Job Summary Responsible for acting as the principal interface for the management and their team by managing a busy, "live" calendar, typing and drafting correspondence, preparing some complex documents and presentations using advanced MS Office skills, coordinating large on and off-site meetings, negotiating with and managing vendors, monitoring department expenses and maintaining reports for office matters like vacations and performance reviews, coordinating travel arrangements, monitor mail (electronic and hard copy), and perform miscellaneous administrative activities as assigned. Telephone Skills: . Act as first line of defense for manager: screening calls/messages, directing them to other places when appropriate, taking messages, and/or handling on own. . Respond to requests for information from employees, consumers, customers, and vendors, send out material as appropriate, and direct their calls as needed. . Track requests for information and verify completion or customer/client satisfaction. Travel Coordination: . Make individual and group travel arrangements - i.e. plan itinerary, research cheapest/best alternatives, negotiate with Campbell vendor for best deal, make reservations (ground, air and hotel). . Coordinate group events with the help of the travel agents meeting planner and in some cases on own. . Prepare, submit and track expense reports in an efficient, timely manner. May include the use of foreign currency exchange rates. Office Manager: . Act as administrative leader: coordinate workflow, uncover issues, solve problems. . May be asked to plan for arrival of new employees. . Manage space and equipment for outside vendors. . May act as a mentor to more junior administrative assistants. Budget Coordination: . Establish purchase orders and ensure appropriate allocation of funds throughout the FY. . Research inappropriate charges and follow up to ensure proper accounting. . Monitor department expenses against various accounts, i.e., legal counsel, outside vendors, catering, supplies, travel etc. by maintaining spreadsheet and reconciling accounts. Job Specifications . Experience working in a fast-paced, high pressure environment where adaptability and flexibility are essential. . Strong organization and prioritization skills. . Demonstrated initiative and independence. . Ability to manage and maintain highly confidential information. . Ability to adapt to changing priorities and manage multiple demands at once. . Ability to build relationships at all levels of the organization. . Strong written and verbal communication skills. . Strong knowledge of Microsoft Office. . Ability to multi-task and prioritize while maintaining a disciplined attention to detail. Computer Skills: . Expert software skills for creating high volume of high quality documents, spreadsheets and presentations quickly, based on limited input from manager. . Use Internet and intranet for research including competitor/ vendor information, etc. . Use new software applications without training -learn on the fly. . Use specialized/proprietary data base management software to look up, track and report on information. . Advanced Lotus Notes for managing own & managers e-mail, calendar and workflow. Qualifications: . 5+ years relevant experience. . Corporate experience highly desired. . Experience multi-tasking in an environment where change is ever present . High school or equivalent.
