The Johns Hopkins Applied Physics Laboratory (APL), a national leader in scientific research and development, located midway between Baltimore and Washington, DC is seeking an Office Administrator/Group Secretary. Responsibilities Provide broad range of office and administrative support for the management and staff of the Qualified Hardware Group. Interact with all levels of APL Staff and outside community to arrange meetings; schedule appointments; open/read/distribute mail, perform filing tasks; provide rollover phone coverage for entire Group. Process credit card purchases for direct and indirect projects, prepare and process procurement requisitions. Provide backup support to Group Fiscal Administrator. Order office supplies and furniture as required. Make and process travel arrangements; prepare shipping arrangements. Serve as Group Communications representative. Compose, format and proof memos/letters; edit/revise/distribute technical reports; maintain Group records for publications, invention disclosures and presentations. Perform compliance audits (timekeeping, security, etc.) Serve as Group training administrator: Collect training evidence/certifications and scan for entry into ECMS, maintain Group-level training database, run regular reports for Group management on training currency status, communicate training information to Group management team. Assist with special projects (i.e. team building activities, Group public relations materials) as required. Qualifications Required: Minimum of 5 years secretarial/administrative experience in a mid-management setting with excellent phone and secretarial skills. Demonstrated ability to effectively use a Microsoft Windows based personal computer, including Microsoft Office (WORD, Excel, PowerPoint, Outlook) and web based applications. Must be self-directing and flexible in performing a wide range of secretarial and administrative tasks and trustworthy in maintaining sensitive information. Create, edit and proofread reports, viewgraph presentations, spreadsheets and administrative documents. Excellent customer service, communication, organization and interpersonal skills. Desired: Knowledge of APL policies and procedures; competent in the use of E-time, APS purchasing system and data warehouse applications. Special Work Conditions As principal customer contact and phone coverage for a very large Group, must be accessible at desk for the majority of time.
