DEADLINE: November 9, 2009 THIS POSITION IS LIMITED TO UNIVERSITY OF DELAWARE EMPLOYEES. QUALIFICATIONS: High school diploma or GED with four years of increasingly responsible secretarial experience. Additional secretarial training or related education may be substituted for required experience. Associates degree or equivalent college-level course work in business administration or related field preferred. Extensive knowledge of office practices and procedures, as well as principles and practices of office management. Ability to handle multiple assignments concurrently, analyze and interpret data, make independent decisions, plan, assign, review and evaluate the work of other personnel. High level of independent judgment, initiative, and problem-solving skills. Demonstrated ability to use advanced techniques in word processing, spreadsheet, database, presentation software and UDSIS. Ability to research, compile and analyze data. Ability to communicate effectively and interact well with people of all ages and diverse backgrounds. RESPONSIBILITIES: Perform complex secretarial and administrative duties, provide program support and coordinate undergraduate and graduate student administrative issues. Coordinate student activities with Program Coordinators and Studio Area Heads. Provide support to faculty and grads on use of GRADIS, UDSIS, and web forms. Liaison between department, graduate office, students, and faculty to distribute information and monitor student compliance. Develop and maintain up-to-date records of course descriptions and syllabi. Assist students with enrollment registration and drop/add requests. Assist Chair and Program Coordinators with scheduling decisions, room assignments, and registration monitoring. Enter scheduling information each semester in UDSIS, updating when necessary. Support faculty with curriculum revisions and processes. Maintain records of student evaluations and prepares reports for Chair. Coordinate Course Fee policies and practices. Arrange for refreshments, insurance, awards, space, for all exhibitions and shows. Advertise for events through Public Relations. Coordinate visiting artists and lecture series. Oversee and organize the department convocation, attend and take photos. Track and inform students and faculty on graduate deadlines and compliance. Compile graduation survey information. Compile reports as needed for the Chair and Assistant to the Chair. Cross train and cover basic office operations as needed. Prepare BERs as needed, payments to visiting artists, etc. Purchase supplies for the office and studio areas as needed. Maintain department storage spaces. Assist in the overall organization in the department office spaces. Department liaison with University Archives, supervising retention and disposal of records.
