Position Summary*: Under the supervision of the Director of Health Operations, the Clinic Administrators responsibilities will focus primarily on the day-to-day oversight of a Community Medical, Dental and Mental Health Services to ensure the smooth and efficient operation of the Clinic; and to ensure that services delivered to the patient population are in accordance with all regulatory requirements. Other responsibilities will include the implementation of clinic-based procedures and systems; the overall supervision of clinic-based staff; and the coordination of meetings and activities of the clinical team. The Clinic Administrator will also act as the liaison to other CAS programs. Illustrative Examples of Work*: Responsible for the day-to-day administrative supervision and support to all clinic-based staff: doctors, nurses, medical assistants, receptionists, health educators, nurse practitioners, dentists, dental assistants and any other staff assigned to work in the clinic. Ensure adequate daily patient/staff ratio and develop, distribute and maintain a monthly staff schedule to ensure continuous back-up coverage. Ensure integration of the medical, dental and mental health day-to-day operations. Collaborate with the Mental Health manager to ensure that services are provided to patients in accordance with all Article 31 (OMH) regulatory requirements. Identify and handle system breakdowns where and when they occur. Responsible for the clinic-based patient flow system, making sure that walk-in patients and appointment patients are seen in a timely manner. In conjunction with the Director of Health Operations, is responsible for the implementation of all administrative policies and procedures. As part of the Internal Quality Assurance (IQA) Program, takes co-responsibility with the Medical Director or her designee in executing tracking systems, including implementation of patient referrals and follow up. Responsible for ensuring that the Director of Health Operations is kept updated about current issues and/or problems related to clinic operations. Responsible for holding monthly staff meetings and for ensuring that minutes are taken and distributed to all relevant staff. Assist in the recruitment, interview and selection process of clinic staff, as needed and requested. Function as liaison to other CAS programs to facilitate the enrollment of children for health care services. Assist senior staff in the development and implementation of all educational and training efforts designed for clinic staff. In conjunction with nurses and medical assistants, maintain appropriate level of all supplies required for the clinic, and keep a supply tracking system in order to assure timely deliveries. Function as a senior administrative member of the interdisciplinary team. In collaboration with the Medical Director and the Health Information Technology Manager, will be responsible for the implementation and oversight of the Electronic Health Record (EHR) system. Responsible for the oversight of all medical, dental and mental health billing encounters, assuring that appropriate insurance information is documented and that patients without insurance are referred to HCAP. Working closely with the Health Services? Budget Director and Contracts Manager, will have oversight of the clinic budget. Responsible for statistical reports. Implement philosophy and objectives of program. Ensure that all patients, visitors, and guests, as well as co-workers, receive personalized, prompt attention and are treated with dignity and respect.
