Executive Office Administrator (Exempt) AutoReqId 118632BR Responsibilities Major Responsibilities for this role include, but are not limited to: . Organize and maintain a complex calendar using a high level of integrity, managing across different time zones and markets . Manage travel arrangements including air, hotel, transfers, and agendas . Organize internal and external business meetings, making all necessary arrangements including sending invitations, booking rooms and arranging catering . Organize regular team meetings, 1:1s, skip levels . Email delegation / reacting and responding on behalf of, prioritizing what is important and urgent, acknowledging receipt on behalf of, replying on behalf of etc . Ensuring timely preparation and processing of expense reports and invoices . Review expenses submitted to leader and highlight any out of policy spend . Preparation for meetings, PowerPoint presentations, excel spreadsheets and reports, preparing handouts / packs, agendas, minutes etc . Maintain team organization charts, track recruitment and headcount . Communicate effectively with Team members and associated departments . Answering telephones / picking up voicemails - passing on messages, following up on requests. . Maintaining electronic and paper files for leader . Required Qualifications .Must have a minimum of 5 years experience with previous experience supporting senior executives .Ability to multi-task and prioritize in an extremely fast paced environment .Highly proficient in Lotus Notes, Excel, Word and Power Point .Strong attention to detail .Problem solver and self starter who can work under minimal supervision. .Demonstrated ability to remain calm under pressure and be flexible to changing priorities .Excellent organizational and time management skills .Strong interpersonal and communication skills .Team player .Highly motivated .Demonstrated ability to interact with Senior Management and handle confidential and sensitive information with discretion .Ability to be proactive and anticipate the needs of an extremely dynamic office .
