PHCS Foundation is seeking a full-time Foundation Assistant to provide high level administrative support for the Director of Principal Gifts and Major Gifts Officer. The successful candidate must demonstrate the ability to function as an effective and committed member of the team, with a readiness and ability to adjust to the immediate and changing priorities of the office as required. He/she must be adaptable, positive, and proactive, and must be able to manage simultaneous projects to completion, working independently or collaboratively as needed. Candidates must have excellent written and verbal communication skills, strong proofreading skills, good telephone manner, exceptional organizational and interpersonal skills, and a high degree of professionalism and initiative. High attention to detail, and ability to prioritize workload, flexibility and teamwork. Candidates should possess excellent word processing and data management skills. He/she must have a high level of proficiency with technology and the Microsoft Office suite applications including Word, Excel, and PowerPoint. He/she must have prior experience with complicated mail merges and the ability to take initiative and learn database systems quickly. At least 5 years administrative experience in a high productivity environment. Responsibilities include: extensive data entry and database maintenance assembly of funding proposal and meeting materials drafting/preparation of correspondence, including merging letters, acknowledgments, briefings and other items for distribution to donors and volunteers preparing customized and detailed database reports and mailing lists; exporting files to Excel spreadsheets organizing targeted mailings responding to telephone and email inquiries and requests for information organizing and maintaining paper and electronic files planning meetings, conference calls and organizing events. Qualified candidates will have: Bachelors Degree or Associates Degree 3-5 years commensurate experience required. Experience in fundraising highly desired. Healthcare related experience a plus. Five years professional office experience preferred. Strong writing, oral, computer and database management skills. Excellent organizational skills, ability to handle multiple projects; excellent interpersonal skills and ability to communicate effectively with people at all levels. The candidate must be able to work effectively under pressure, use independent judgment and produce quality work within tight time constraints.
